Terms & Conditions
Welcome to Magic Moments Co. By booking our services, using our website, or communicating with our business, you agree to the following Terms and Conditions.
1. Services Provided
Magic Moments Co. provides character entertainment services for events including but not limited to birthday parties, school events, restaurant promotions, and special occasions. All services are subject to availability.
2. Booking & Deposits
A $25 non-refundable security deposit is required to reserve your event date and time.
This deposit secures your booking and will be applied toward your total balance.
$30 travel fee if over an hour of travel. Please note that travel fees may increase depending on distance and current fuel costs. Due to fluctuations in gas prices, travel fees are subject to change at any time, even after initial quotes or invoices have been sent.
Reservations that have been on our calendar for 30 days or longer are subject to a $75 Booking Change Fee if the customer requests changes to the event date, time, or location. This fee covers the time required to reorganize our event schedule, staffing, and logistics. Additional travel fees may apply if the new location is farther than the original booking location. All requested changes are subject to availability. By submitting your deposit, you acknowledge that you have read, understand, and agree to all of the booking policies outlines above, including but not limited to deposits, travel fees, booking changes, cancellation policies, outdoor event policies, and any applicable additional fees.
3. Cancellation, Refund & Rescheduling Policy: All payments made toward a booking, including deposits and any additional payments, are non-refundable. Once a booking is confirmed, Magic Moments Co. immediately begins reserving performers, purchasing supplies, scheduling staff, coordinating travel, preparing costumes and event materials, and turning away other booking requests for that reserved date and time. Because of these costs and commitments, no refunds will be issued if the client cancels for any reason. At Magic Moments Co.‘s sole discretion, a reschedule may be offered if requested at least 14 days prior to the event date and if the requested date is available. Rescheduling fees may apply. Weather, venue changes, or changes in the client’s plans do not qualify for a refund.
The $25 security deposit is non-refundable if:
• The client cancels
• The client reschedules
• The client changes their mind for any reason
Refunds will ONLY be issued if Magic Moments Co. must cancel or is unable to accommodate the scheduled service.
4. Remaining Balance
All remaining balances must be paid:
• At the time of service unless otherwise agreed
• In full before characters begin the event
Failure to pay may result in cancellation of services.
5. Client Responsibilities
Clients agree to:
• Provide a safe environment for performers
• Ensure adequate space for character movement
• Supervise children during the event
Magic Moments Co. reserves the right to end services early if conditions are unsafe, inappropriate, or disruptive.
6. Character Representation
Magic Moments Co. provides inspired character entertainment and is not affiliated with, endorsed by, or licensed by any trademark or copyrighted entities.
7. Weather Policy
For outdoor events:
• Clients must provide an indoor backup option
• Services may be paused or canceled due to unsafe weather conditions
No refunds will be issued for weather unless Magic Moments Co. cancels.
8. Liability
Magic Moments Co. is fully insured; however, we are not responsible for:
• Injuries caused by guests
• Property damage unrelated to our staff
• Unsupervised children
9. Changes to Terms
Magic Moments Co. reserves the right to update these Terms and Conditions at any time without prior notice.

Photo & Video Release Policy
By reserving and booking with Magic Moments Co., the client acknowledges and agrees that photos and video may be taken during the event for promotional, training, quality control, and social media purposes. This may include performers, guests, party activities, and general event footage.
We always aim to capture fun moments respectfully and never with harmful intent. Booking with us grants permission for Magic Moments Co. to use event content on platforms including Facebook, Instagram, TikTok, our website, and future marketing materials.
If a client prefers no filming or no posting, this request must be made in writing before the event begins. We are happy to honor privacy requests when communicated in advance. Requests made after the event may not be eligible for refunds or content removal once materials have been created or published.
By submitting a deposit or payment, the client confirms acceptance of all policies and terms.
11. Piñatas, Candy & Additional Supplies
Piñatas include a standard amount of candy and toy fillers based on the package purchased. If additional candy, toys, treat bags, glow supplies, prizes, or other party supplies are requested, or if the guest count increases beyond the original booking, additional charges will apply.
Due to fluctuations in the cost of candy, toys, piñatas, and party supplies, pricing is subject to change without notice. Any additional supplies requested after booking will be added to the final balance.
Magic Moments Co. reserves the right to charge for any extra supplies needed to accommodate larger guest counts or customer-requested additions after the original reservation is confirmed.
